Job Application Email and Cover Letter: 3 Free Templates

Last updated: September 2026

A good resume can still be ignored if the email it arrives in is careless. Recruiters often read the subject line and the first two sentences before they decide whether to open the attachment. For a fresher with no work history, that short message is your first chance to show that you are clear, polite and serious about the job.

This guide shows what a job application email should contain, how to write a subject line that gets opened, and gives you three free templates you can adapt: an application email, a formal cover letter, and a follow-up email. All the names and details in the examples are fictional.

What a job application email should include

A strong application email is short, usually well under 150 words, and has six parts in a fixed order.

How to write the subject line

The subject line decides whether your email is found again later. Recruiters often receive dozens of applications for one role, so make yours easy to match to the vacancy. Use this pattern: the word “Application”, the job title, your name, and a reference number if the posting gives one.

Clear subject lines name the job and the person applying.

Template 1: Application email

Use this when a posting asks you to email your resume. The email itself works as a short cover note, so you do not need a separate letter unless the employer asks for one.

Subject: Application for Finance Operations Trainee - Ananya Verma

Dear [Hiring Manager's Name],

I am writing to apply for the Finance Operations Trainee position advertised on [where you found it]. I recently completed my B.Com (Hons) at [College Name] and have practical experience with Excel and Tally Prime through a bank reconciliation project.

In that project, I matched 150 sample transactions between a cash book and a passbook and prepared the reconciliation statement. I also built an Excel expense tracker that summarises spending by category. I would like to use these skills and keep learning on your team.

My resume is attached. I am available for an interview at your convenience and can be reached on 98XXXXXXXX.

Thank you for your time and consideration.

Regards,
Ananya Verma

How to adapt it

  • Replace the job title, the source of the vacancy and the skills with the ones in the posting.
  • Choose one or two projects that match what the job asks for. Do not list everything.
  • If you cannot find a name, use “Dear Hiring Manager”. Try the company's LinkedIn page or the posting first, because a name is better.

Template 2: Formal cover letter

Attach a cover letter as a PDF when the posting asks for one, or for larger companies and formal applications. Keep it to about half a page, in four short paragraphs.

Four-part cover letter structure: opening, your proof, why this company and closing, each with a short example sentence
One idea per paragraph keeps the letter short and clear.

[Your Name]
[City, State] | [Phone] | [Email]

[Date]

[Hiring Manager's Name]
[Company Name]
[Company City]

Subject: Application for [Job Title]

Dear [Hiring Manager's Name],

Opening: I am applying for the [Job Title] role at [Company Name]. I graduated with a [Degree] from [College Name] in [Year], and I am eager to start my career in [field].

Your proof: During my studies, I [describe one project: what you did, the tools you used and the result]. This gave me practical experience in [Skill 1] and [Skill 2], which your job description lists as key requirements.

Why this company: I am drawn to [Company Name] because [one specific reason, such as a product, a training programme or the kind of work the team does]. I would welcome the chance to learn from your team and contribute from the start.

Closing: I have attached my resume for your review. I would be glad to discuss my application in an interview. Thank you for your time.

Yours sincerely,
[Your Name]

When you use this template, delete the bold labels such as “Opening” and “Your proof”. They are only there to show what each paragraph does.

Template 3: Follow-up email

If you hear nothing, one polite follow-up is reasonable. Wait about a week after applying, or until the date the posting gave for replies. Send one message, and a second only if a further week passes.

Subject: Following up on my application for [Job Title] - [Your Name]

Dear [Hiring Manager's Name],

I applied for the [Job Title] position on [date] and wanted to confirm that my application reached you. I remain very interested in the role and would be happy to share any further information you need.

Thank you for your time.

Regards,
[Your Name]
[Phone] | [Email]

After an interview, a two or three line thank-you email the same day is also a good habit. Thank the interviewer, mention one thing you enjoyed learning about the role, and say you look forward to hearing from them.

Do and do not

  • Do use the recruiter's name, name the exact job, and attach your resume as a PDF called YourName_Resume.pdf.
  • Do mention the attachment in the email, so it is not missed.
  • Do not copy a letter from another application without changing the company name and job title. This is one of the most common and most noticeable errors.
  • Do not write in capital letters, use text-message spelling or add emojis.
  • Do not send the same email to many companies in one message with everyone visible.
  • Do not attach ID proofs, marksheets or photographs unless the employer asks for them after shortlisting.

Check before you press send

  1. The email address is the employer's official one, not a look-alike or a free address you cannot verify.
  2. The company name and job title match this application.
  3. The attachment is the right file and opens properly.
  4. Your phone number and email address are correct in the signature.
  5. You have read the whole email aloud once for spelling and tone.
Stay safe: genuine employers do not charge a fee to apply, and they do not need your Aadhaar, PAN or bank details in a first application. If a “recruiter” asks for money or sensitive documents, stop and check the company independently. See our Job Search Tips section for more on avoiding fake job offers.

Frequently asked questions

Do freshers need a cover letter?

Not always. Many private employers do not require one, and a short, well-written email works as your cover note. Attach a formal letter when the posting asks for it.

Should I paste the cover letter into the email or attach it?

Use the short application email as the body. Attach a formal cover letter only if it was requested, and keep the email itself to two or three lines in that case, so you do not repeat yourself.

How long should the email be?

Aim for about 100 to 150 words. Recruiters skim, so every sentence should have a purpose.

What if the posting gives no contact name?

“Dear Hiring Manager” is acceptable. It is better to look for a name first, but do not delay your application because you could not find one.

Final thoughts

A clear subject line, a short body with one specific piece of evidence, and a properly named attachment are enough to stand out among careless applications. Adapt the templates above for each job instead of sending them unchanged. For more guides, see our Resume Tips section.

Hiring practices vary by employer. Always follow the application instructions given in the job posting.
